Renewal Proposal Deck Workflow for Customer Success Teams

A renewal deck is not a prettier quarterly business review. It has to help a customer decide whether to continue, change scope, or expand—usually while procurement, an executive sponsor, and day-to-day users are looking for different evidence.

The design team can build a strong reusable system in Figma, while customer success owns the account story. Pitchdeck lets that source deck be presented, shared, or exported to editable presentation formats without forcing the designer to rebuild it for every stakeholder.

Define the renewal decision first

Before opening a slide template, write the decision the meeting needs to produce. Examples include:

• renew the current agreement on the proposed term;
• consolidate separate teams into one plan;
• change the package because usage has shifted;
• agree on a recovery plan before the commercial deadline.

This prevents a common failure: spending twenty slides recapping activity while leaving the actual renewal choice vague.

Identify the audience as well. A champion may care about workflow improvements, finance about cost and terms, security about unresolved controls, and leadership about business outcomes. The deck needs a clear route through those concerns, not one generic “value” section.

Separate account facts from the slide system

Create a structured account brief before customizing slides. Include contract dates, approved pricing inputs, product usage periods, success-plan goals, confirmed outcomes, open support issues, stakeholder changes, and proposed next steps. Assign an owner and source to every consequential fact.

Then build the deck from reusable slide patterns:

• decision and meeting objective;
• goals agreed at the start of the term;
• evidence of progress;
• gaps, risks, and corrective actions;
• next-term plan;
• commercial options and decision path.

Keep account-specific claims visibly separate from reusable copy. A component can standardize the layout of an outcome slide, but it should never make last quarter’s numbers look current on a new account.

Show evidence at the right level

Good renewal evidence connects an activity to a result. “42 team members logged in” is usage. “The regional team adopted the shared workflow and reduced the approval queue” is an outcome only when the customer has confirmed it.

For each claim, ask:

1. What changed?
2. Over which period?
3. Compared with what baseline?
4. Who accepts this as meaningful?
5. Can the presenter explain the source?

Avoid invented ROI. If the customer has not validated a dollar or time-saving estimate, label it as an estimate or leave it out. A smaller set of defensible facts is stronger than a dramatic slide that collapses under scrutiny.

Design for the live conversation

Renewal meetings are rarely linear. The sponsor may jump directly to risks, procurement may ask for the option table, or a new executive may need the context in two minutes.

Use clear section dividers, descriptive slide titles, and a compact agenda that lets the presenter navigate without hunting. Put supporting methodology or detailed usage tables in an appendix. Keep the core story focused on the decision.

Speaker notes should explain caveats and sources, not hide essential meaning. If a chart requires a verbal disclaimer to be accurate, add the qualification to the slide.

Pitchdeck can add links, video, live embeds, and interactions, but use them deliberately. A live dashboard can provide depth; it can also fail because of permissions or network access. Capture a dated fallback view for any evidence the meeting cannot proceed without.

Choose the delivery mode by stakeholder

The same Figma source can serve several handoff needs:

• Present directly when the customer success manager controls the meeting.
• Share a browser link when stakeholders need asynchronous review and a controlled viewing experience.
• Export PDF when the record should remain visually fixed.
• Export editable PowerPoint, Google Slides, or Keynote when the customer or account team must continue editing.

The presentation export format guide helps with that choice. If the deck contains sensitive commercial information, confirm the audience and access method before sharing. Password protection helps, but it does not replace correct recipient selection or an internal data-handling policy.

Run a renewal-specific review

At least two people should review the final deck: someone responsible for account accuracy and someone who was not involved in assembling it.

Check that:

• contract dates, terms, plan names, and currencies match the approved source;
• charts use the same reporting window and label partial periods;
• screenshots do not expose another customer or private user data;
• resolved issues are not presented as open, or vice versa;
• the proposed next-term plan has owners and dates;
• every commercial option is authorized;
• appendix slides are current;
• exported slides remain readable and editable where promised.

Do a five-minute executive pass too: read only the slide titles and highlighted numbers. They should tell a coherent and accurate story without the presenter filling in missing logic.

Keep the renewal deck from becoming another stale copy

After the meeting, record decisions in the account system of record. Do not treat annotations in a shared deck as the final commercial agreement. Archive the presented revision, then update the reusable Figma source only with improvements that apply to future accounts.

This workflow is distinct from a recurring QBR deck: the renewal version narrows toward an explicit commercial decision. Pitchdeck removes the format rebuilding around that conversation.
