A restaurant menu PDF looks like a simple design file until someone has to update it. Prices may live as outlined text, dietary symbols may have no legend, and the “latest” PDF may disagree with the ordering system. Rebuilding it by eye can preserve the design while quietly preserving outdated content too.

Establish the content authority
Before conversion, identify who owns names, descriptions, prices, modifiers, allergens, dietary claims, tax notes, and availability. The printed PDF may be a useful visual reference, but the current point-of-sale or menu-management system may be the operational source.
Create a reconciliation sheet with one row per item and columns for section, display name, description, price, variants, dietary markers, source, and approval. Record disagreements instead of silently choosing whichever value looks newest.
Regulated statements and allergen information require review by the responsible business owner. A design plugin cannot determine whether “gluten-free,” “vegan,” or an allergen claim is legally or operationally accurate.
Inspect the PDF before importing it
Check whether the PDF contains selectable text, embedded fonts, vector graphics, linked or raster images, multiple page sizes, bleed, crop marks, and transparency. Ask for original InDesign or Illustrator files and fonts if they exist; a PDF is often only the flattened delivery artifact.
Open representative pages at high zoom. Look for outlined glyphs, clipped text, image-only pages, duplicate shapes, and complex masks. These conditions predict how much cleanup the imported file will require.
If the source is a scan, plan for OCR and manual verification outside the conversion step. Never trust OCR for prices, ingredient names, or allergen notes without comparing every result with an authoritative source.
Convert a representative page first
Import one difficult page before committing to the full menu. Choose a page containing headings, multi-line descriptions, price columns, dietary symbols, images, and footnotes.
After conversion, test:
- whether text is editable and in the correct reading order;
- whether fonts are available or need deliberate substitution;
- whether price columns align without manual spaces;
- whether icons remain vectors;
- whether masks, strokes, and images render correctly;
- whether page dimensions match the intended print format.

Rebuild the system, not the accidental structure
Imported layers may be editable but still poorly organized. Create components for section headings, menu items, price treatments, badges, and footnotes. Use auto layout for item groups so description changes do not require manually moving every line below them.
Avoid typing dots or spaces to align prices. Use layout rules that survive longer names and price changes. Define paragraph styles for item names, descriptions, metadata, and legal notes. Consolidate duplicated colors and text styles only after confirming that apparent duplicates are not intentional print variations.
Keep dietary symbols paired with visible text or a clear legend. Color alone is a weak signal, especially in dim environments or low-quality prints. Test the smallest text at final physical size, not only on a zoomed Figma canvas.
Separate editions from exceptions
Menus often branch into dine-in, takeaway, lunch, dinner, bar, location, and seasonal editions. Decide which content is shared and which is genuinely edition-specific. A common item should have one approved record even if it appears in multiple layouts.
Create an edition matrix showing where each section appears, which prices vary, and who approves changes. If the operating system cannot feed Figma directly, a structured spreadsheet and a documented import process are still safer than scattered manual edits.

Proof the output in its real conditions
Export a proof at the intended page size and print it on the likely paper stock. Review it at normal reading distance and under typical lighting. Check:
- prices against the authoritative system;
- item order and section membership;
- line breaks, widows, clipping, and crowded columns;
- dietary markers and legend consistency;
- image resolution and color behavior;
- bleed, margins, folds, binding, and trim safety;
- QR codes at printed size and with multiple phones;
- edition, location, and effective-date labels.
Also review the accessible digital edition separately. A print PDF exported from a visual layout is not automatically a good screen-reader document or mobile menu.
