An organization may have years of newsletters and no usable source files. The PDFs still contain valuable layouts, recurring columns, sponsor placements, and institutional history, but copying one issue into a new design means tracing pages and retyping content by hand.
Convertify can import PDFs into Figma and preserve supported content as editable layers. Conversion is the intake step, not the finished template. The real work is deciding what the archive must preserve and what the new system should leave behind.
Triage the archive before importing it
Create an inventory with issue date, page count, dimensions, language, recurring sections, special supplements, source quality, and rights status. Identify representative issues rather than converting everything immediately: a typical issue, the oldest usable one, the most complex layout, and one containing known font or image problems.
Separate three goals that are often confused:
- archival reference, where visual fidelity matters most;
- content recovery, where selectable text and images matter;
- template redesign, where maintainability matters more than preserving every historical quirk.
Keep original PDFs unchanged as evidence. Give them stable IDs and record checksums or another integrity marker if the archive has compliance or historical value.
Inspect what a PDF can actually tell you
A PDF describes a rendered page, not the editorial system that produced it. It may contain outlined text, subset fonts, flattened transparency, clipped images, or separate characters positioned to look like a paragraph. A successful import can still be a poor foundation for future issues.
Before conversion, check whether text is selectable, images are high enough quality, fonts are available and licensed, pages use consistent dimensions, and scanned issues need OCR. Password-protected or damaged PDFs should be resolved through the archive owner rather than bypassed.
The PDF extraction workflow covers general recovery. Newsletter migration adds repeated editorial structure and the need to distinguish historical fidelity from a future publishing system.
Run a representative conversion
Import the test issues with Convertify, then compare every page with the original PDF. Review text flow, line endings, columns, image crops, masks, vectors, gradients, and page order. Look closely at ligatures, footnotes, accented characters, tables, advertisements, and text that crosses columns.
Classify results instead of silently fixing them:
- preserved and reusable;
- visually preserved but structurally awkward;
- substituted, such as a missing font;
- flattened and requiring reconstruction;
- missing or incorrect.
This defect map tells you whether the remaining archive can be batch-processed or needs different treatment by era.
Recover patterns, not accidental coordinates
Do not turn every imported page into a component. First identify stable editorial patterns: masthead, contents, opening letter, feature lead, article continuation, pull quote, events listing, sponsor block, and footer. Rebuild those patterns with current Figma styles, components, Auto Layout, and documented constraints.
Use imported pages as references while normalizing grids, spacing, type styles, and image ratios. Preserve unusual historical layouts as archive frames, not as exceptions that make the new component library impossible to maintain.
When text import produces hundreds of fragments, recover the content into clean text layers rather than pretending the fragmented structure is editable. When an image is too small for reuse, flag it for sourcing instead of enlarging it into blur.
Reconcile editorial content
Create a content map for each migrated issue: article ID, headline, author, section, page range, image credits, sponsor status, source permission, and whether the text has been proofread after conversion. This is especially important when OCR or broken PDF text encoding is involved.
Proofread names, dates, URLs, monetary values, and contact details against the original. Automated conversion cannot determine whether an old phone number should be preserved historically or updated in a republished edition; that is an editorial decision.
If the archive will feed a website or CMS, keep semantic content separate from page geometry. A Figma reconstruction is useful for design reference, but it is not a structured content repository by itself.
Validate the new issue system
Build one new issue using realistic content extremes: a long headline, short article, portrait and landscape images, a full events list, a missing sponsor, and an accessibility-sensitive chart. Ask someone who did not build the system to assemble or update it.
Check that page numbers, running headers, contents entries, image credits, overset text, print margins, and export settings remain reliable. Open the final PDF outside Figma and compare it with the approved frames.
The legacy design cleanup checklist helps with broader post-import maintenance. For newsletters, the decisive test is whether the next issue can be produced without copying an old page and inheriting its hidden mistakes.
Convertify can recover a large amount of usable structure from the archive. A durable migration still needs provenance, editorial proofreading, rights review, pattern reconstruction, and clear rules for what remains historical rather than reusable.
