An old instruction manual often becomes the source of truth by accident. The editable file is missing, the product has changed, and the only surviving artifact is a PDF made for a printer years ago. Rebuilding it is not just a layout job: warnings, part numbers, diagrams, model differences, and legal language all need to remain trustworthy.
Convertify can import PDF content into Figma and preserve supported text and layers as editable objects. That gives the redesign a head start, but an imported page is evidence to reconcile—not proof that the manual is correct.
Freeze and identify the source set
Before importing anything, collect every relevant artifact:
- the latest customer-facing PDF
- previous revisions and regional editions
- product model and firmware matrix
- approved warning and compliance language
- original photos, diagrams, and icon files if available
- printer specifications and physical page size
- support tickets or errata that reveal known mistakes
Record the PDF filename, revision code, publication date, language, page count, and where it was obtained. Hash or archive the exact source if the project has regulatory consequences. A folder called final-manual-v7-new.pdf is not adequate provenance.

Inventory before redesigning
Create a page-level inventory with columns for section, product model, warnings, diagrams, references, owner, and disposition. Mark each page as retain, revise, replace, split, merge, or retire.
Look specifically for:
- steps that reference obsolete controls or screens
- screenshots from older firmware
- repeated warnings with inconsistent wording
- diagrams whose labels are flattened into images
- page references that will break when pagination changes
- units, electrical ratings, and part numbers
- blank pages or signatures required by print binding
This inventory stops a clean redesign from silently preserving old operational errors.
Import a representative section first
Do not convert a 140-page manual and immediately start cleaning every page. Import a representative sample containing body text, a procedure, a table, an annotated diagram, a warning, and a dense specifications page.
Inspect what remains editable and what arrives flattened. Check font substitution, line breaks, clipping masks, image resolution, vector complexity, table structure, and page dimensions. Use the sample to estimate cleanup effort and define reusable Figma components before scaling the conversion.
Convertify reduces manual recreation, but PDF is a final-output format. Some source relationships no longer exist in it. A label that visually sits beside a diagram may not be programmatically connected to that diagram; a table may be a collection of unrelated text runs.
Build a manual system, not a pile of pages
Create components and styles for recurring structures such as:
- chapter openings and running headers
- numbered procedures
- warnings, cautions, and notes
- part callouts and figure captions
- specification tables
- troubleshooting entries
- model or region badges
Define how procedures continue across pages and what elements must stay together. A warning separated from the hazardous step by a page break is not a cosmetic defect.
Use stable names for diagrams, figures, and reusable warning blocks. If several models share most instructions, make the differences explicit instead of duplicating nearly identical pages that will drift later.
Reconcile content with product owners
Assign technical review by domain. Engineering should verify controls, specifications, and sequences. Support should check recurring points of confusion. Legal or compliance owners should approve warnings. Localization owners should flag text expansion and region-specific content. Production should confirm page, bleed, color, and binding constraints.
Review instructions by performing them on the real product when practical. A sequence can read plausibly and still omit a prerequisite, reference the wrong button, or show an impossible hand position.
Maintain a change log with the old text, new text, reason, approver, affected models, and translation impact. Do not allow comments in scattered Figma frames to become the only audit trail.
Rebuild diagrams with restraint
Recover usable vectors and images where possible, but redraw only when it improves comprehension or maintainability. Preserve orientation, scale cues, callout order, and viewing angle when those details affect the procedure.
For raster images, verify that the effective resolution is sufficient at print size. For vector imports, remove unnecessary points only after checking that small technical features remain accurate. Never simplify a safety diagram merely because the cleaner version looks better.

Prove the finished manual
Export a review PDF and compare it page by page with both the Figma source and the approved content inventory. Check page size, fonts, links, bookmarks if required, image quality, warning placement, figure references, page references, blank pages, and print marks.
Print representative spreads at actual size. Confirm that small labels are readable, binding does not swallow content, diagrams remain clear in the intended color mode, and procedures do not break at dangerous moments. Test the manual with someone unfamiliar with the redesign.
Archive the imported baseline, final Figma source, approved PDF, source manifest, fonts, linked assets, and change log together. Convertify can recover editability from the PDF, but the real project is rebuilding trustworthy authorship around the manual so the next revision does not begin from another orphaned export.
