# Product Catalog PDF to Editable Figma Workflow

The sales team needs a new edition of a product catalog, but the only complete source is last year's PDF. The images live in several folders, prices have changed, discontinued products remain in the pages, and nobody can find the original InDesign package. Tracing the PDF may recover its appearance while carrying every old error into a cleaner-looking file.

Product truth should come from the catalog system, price list, or approved product owner—not from pixels in an archived PDF.

## Freeze the evidence set

Archive the exact published PDF, publication date, market, language, price effective date, and any errata. Collect the closest available source files, linked images, spreadsheets, and print specifications. If several PDFs exist, identify which one customers actually received.

Build a page inventory before conversion:

- covers and introductory pages;
- category and section openers;
- product grids and comparison tables;
- individual product detail layouts;
- specification, compatibility, and accessory blocks;
- pricing, legal, warranty, and ordering notes;
- contents, index, page references, and contact pages.

Mark content that changes by market or channel. A distributor catalog may use different prices, units, model names, or availability from the direct-sales edition.

## Establish a product source of truth

Create a product register keyed by stable SKU or product ID. Include approved name, status, description, category, specifications, dimensions, unit system, price, currency, tax treatment, image references, compatible accessories, market restrictions, and content owner.

Do not copy facts out of the PDF into the new master without reconciling them. A line break can hide a model suffix; a superscript can carry a safety qualification; a price may have been correct only for the old edition. Flag every field that lacks a current authoritative source.

Both contain repeated items and prices, but product catalogs add SKU identity, technical specifications, accessory relationships, market variants, and long indexes that must remain traceable.

## Import into quarantine

Use Convertify to import the PDF or available InDesign source into a dedicated recovery page. Preserve that first import untouched. Record missing fonts, outlined or fragmented text, clipped images, flattened tables, unexpected masks, colour shifts, and page-size differences.

Classify each recovered element:

- reliable editable content;
- editable but structurally messy content;
- visual reference that should be rebuilt;
- missing or damaged content;
- obsolete content that should not migrate.

Do not clean every imported group automatically. A product table made from hundreds of detached text fragments is technically editable but not maintainable. Rebuilding it as a component backed by controlled data may be faster and safer.

## Rebuild the catalog as a system

Create components for product cards, specification rows, badges, pricing, image galleries, footnotes, tables, and section navigation. Use text and colour styles consistently, and define rules for optional fields so discontinued badges or missing prices do not collapse the layout unpredictably.

Name layers and components by product meaning rather than page position. Keep stable product IDs in the layer naming or companion data sheet. If a spreadsheet or content system will drive future editions, test that mapping on one representative category before rebuilding the entire catalog.

Image recovery deserves its own decision. A bitmap extracted from the PDF may be downsampled, colour-converted, or cropped. Match it to the original approved product photography where possible. Do not enlarge a PDF thumbnail and treat it as a print-ready source.

## Reconcile page by page and product by product

Use two passes. First, compare the recovered Figma layout with the archived PDF for visual completeness. Then compare every product field with the current product register.

Review:

- SKU, product name, variant, and status;
- price, currency, tax note, and effective date;
- dimensions, units, capacity, and compatibility;
- correct image and colourway;
- required safety, warranty, or legal text;
- table headings and row alignment;
- section order, contents, index, and page references;
- links, QR codes, phone numbers, and ordering instructions;
- bleed, trim, colour profile, and export resolution.

Use a subject-matter reviewer for technical specifications and a commercial owner for pricing. A designer can confirm that a value was copied correctly; they cannot certify that the value is still true.

## Prove the update workflow before release

Change a sample price, retire one SKU, add a new variant, replace a photograph, and repaginate a section. If those ordinary changes require manual edits in five places, the catalog has been recreated but not made maintainable.

Export a proof and test the real delivery route. Check print output, PDF search and text selection, link behaviour, image quality, file size, and small-screen reading if the catalog is downloaded online. Preserve the archived source, recovery import, approved Figma master, product register, and final release separately.

It cannot identify the current price, restore a missing original photograph, or determine whether a specification is safe to publish.
