# Academic Poster Migration Workflow to Figma

Research posters often begin in PowerPoint because it is available, familiar, and accepted by a print shop. Months later, a lab or communications team may need the poster in Figma for a conference refresh, a visual-system update, or a series of related studies. The tempting approach is to import the old file and start editing.

That is only the conversion step. The real job is to preserve the research faithfully while turning a fragile one-off layout into a controlled, editable source.

## Decide whether migration is worth doing

Do not migrate a poster merely because Figma is the team’s preferred tool. Keep the original workflow if the author must continue editing in PowerPoint, the conference requires a specific template, or the poster is unlikely to be reused.

Migration makes more sense when:

- a design team will create a family of posters from the same system;
- charts, diagrams, and brand elements need a substantial visual refresh;
- the source exists only as a PDF but editable content can still be recovered;
- the poster must produce related web, slide, or social assets;
- the organization needs a reusable, governed Figma template.

Confirm the final print dimensions, orientation, deadline, accepted PDF standard, color expectations, bleed, and whether the printer scales files. Those details should be known before any cleanup decisions.

## Preserve the evidence chain

Create a read-only archive containing the original PPTX or PDF, linked datasets, chart source files, fonts, logos, image credits, ethics statements, funder acknowledgements, and the final version that was previously printed.

Then make an inventory of content that must not change silently:

Conversion should never become untracked editorial revision. If the design team improves wording, route the change back to the research owner for approval.

## Import once, then classify the result

Classify each imported element into three groups:

1. **Safe to retain:** clean text, images, simple shapes, and groups that behave predictably.

Do not measure success by how much of the imported poster remains untouched. A fast import is valuable because it avoids tracing everything; careful cleanup is valuable because it prevents a hidden conversion defect from reaching print.

## Rebuild the layout as a reading route

A printed poster is usually scanned from several feet away before anyone commits to reading it. Establish a clear path through question, method, result, and conclusion. Use a grid that fits the actual page size and design at 100% scale rather than creating a small canvas that the printer must enlarge.

Replace manual stacks of text boxes with intentional sections. Use text styles for title, section heading, body, caption, and reference content. Use color styles for research categories and annotations. Keep margins and gutters large enough that dense content does not merge into one wall.

Avoid shrinking body copy until everything fits. First remove repeated context, move secondary detail to a QR-linked paper or supplement if permitted, and enlarge the most decision-relevant chart. A poster is not a manuscript with a colored background.

## Treat charts as data, not decoration

If a chart imported as a flattened image, locate the authoritative chart source. Rebuild only when the lab can verify the values and encodings. Check:

- axes start, intervals, units, and transformations;
- group colors remain distinguishable and accessible;
- legends match every mark;
- labels and confidence intervals are not clipped;
- sample sizes and statistical qualifiers remain present;
- the conclusion does not overstate what the figure shows.

If an imported vector chart looks editable but contains hundreds of anonymous paths, it may be safer to keep an approved high-resolution export and update it at the source. Editability is useful only when edits can be made accurately.

## Prepare for print and related outputs

Ask the printer for a proof or at least a preflight check. Export according to the required page dimensions and settings, then reopen the PDF. Inspect at normal reading distance and high zoom. High zoom catches missing glyphs and thin rules; normal distance catches weak hierarchy.

Print a tiled or reduced office proof to check text density, contrast, and QR codes. Scan every QR code from a physical print, confirm the destination is public and stable, and provide a short readable URL as a fallback.

If the research team also needs slides or social assets, derive them from the approved content after the poster is signed off. Do not crop the complete poster into unreadable thumbnails. Create channel-specific summaries using the same verified charts and conclusions.

## Migration signoff

- Original files, datasets, fonts, credits, and approvals are archived.
- Final page dimensions and printer requirements are recorded.
- Imported content is classified as retained, repaired, or rebuilt.
- Author names, affiliations, results, units, legends, and references match authoritative sources.
- Fonts and special characters have been checked after conversion.
- The reading order works at real poster scale.
- Charts remain faithful to the approved analysis.
- The exported PDF has been reopened and physically proofed.
- QR codes work from paper and do not point to private or temporary URLs.
- The research owner and print owner have both approved the final file.
